1. Who we are
CramondSoft is a small web studio based in Edinburgh, Scotland. We are responsible for the personal information described in this notice.
If you have a question about your information, or want to use any of your rights, contact us:
- Email: [email protected]
- Phone or WhatsApp: 07717 179343
2. What we collect
When you contact us
Through our contact form, by email, phone or WhatsApp, we collect what you choose to give us. This is usually:
- your name and email address
- your business name and phone number, if you add them
- what you need and the details of your project
- the link to a website preview, if you are writing about one
When the form is sent, we also record the country it was sent from, which our hosting provider works out from your connection. The form itself doesn't record your IP address.
When you become a client
We keep what we need to deliver and invoice the work: contact details, project details, the accounts we set up in your name, and payment records.
When you visit this website
We use Cloudflare Web Analytics to count visits and see which pages are read. It doesn't use cookies, doesn't track you across other websites, and doesn't identify you.
3. Why we use it
Data protection law requires a lawful reason for each use. Ours are:
| What we do | Lawful reason |
|---|---|
| Reply to your enquiry and prepare a quote | Steps you have asked us to take before a contract, and our legitimate interest in answering enquiries |
| Build, deliver and support the work you have paid for, and invoice for it | Performing our contract with you |
| Keep accounting and tax records | Legal obligation |
| Email businesses about a free website preview | Legitimate interests (see section 4) |
| Count visits to this website | Legitimate interest in understanding how the site is used |
We don't sell your information, and we don't add you to a newsletter or mailing list.
4. Website previews and emails to businesses
Sometimes we build a free concept preview of a website for a local business and email the business a link to it. We use contact details that the business has published for business enquiries, such as on its own website or its Google listing.
Every email says who we are and how to stop hearing from us. If you ask us to stop, we will not contact you again. To make sure of that, we keep your business name and email address on a do-not-contact list, and use them for nothing else.
You can ask us to take a preview down, or opt out, on our preview page, or by emailing [email protected].
6. How long we keep it
- Enquiries that don't become work: deleted 12 months after our last contact with you.
- Client records: kept for as long as UK tax law requires us to keep business records, which is at least 5 years after the tax return they relate to.
- Do-not-contact list: kept for as long as we contact businesses, so your request keeps working.
7. Your rights
You can ask us to:
- give you a copy of the information we hold about you
- correct anything that is wrong
- delete your information
- limit how we use it, or object to how we use it
- stop contacting you, at any time
- give you your information in a format you can take elsewhere, where that applies
Contact us using the details in section 1. We will reply within one month. There is no charge.
If you are unhappy with how we have handled your information, you can complain to the Information Commissioner's Office (ICO) at ico.org.uk or on 0303 123 1113. We would appreciate the chance to put it right first.
9. Changes to this notice
If we change how we use personal information, we will update this page and the date at the top.
